Tom Dale Company are committed to safeguarding the privacy of our audience and supporters.
This privacy policy outlines how we may collect, use and protect your data. We process personal data only in strict compliance with the Data Protection Act 1998 (DPA), Privacy and Electronic Communications Regulations (PECR), General Data Protection Regulation 25 May (GDPR) and other relevant legislation.
Using personal information allows us to develop a better understanding of our patrons and, in turn, provide you with relevant and timely information about the work that we do. As a charity, it also helps us to engage with potential donors and supporters.

WHAT INFORMATION WE COLLECT
We collect and use personal data in order to give our audiences and supporters the best possible experience of Tom Dale Company. We are committed to being honest and respectful in collecting and using your personal data.
We collect personal data when:
- You register through our website and join our e-mailing list. We will store the personal information you have provided such as your name, email address, preferences and location/region.
- You are involved in our participation projects. We may collect other sensitive personal data such as allergies, health or medical condition for our participatory projects. We collect it to cater to your needs or act in your interest, and we are only prepared to accept sensitive personal data from you or your child on the condition that we have your positive consent. We will seek this consent when necessary.
- You are involved in a Tom Dale Company project or performance. We may collect photographs, videos or audio recordings of our projects.
- You visit our website, we collect information about how you interreact with our content and advertisement. When we send you an email we store a record of this and we keep a record of which ones you have opened and which links you have clicked on.
- You visit us and/or speak to a member of staff or a volunteer and express an interest to be contacted.
We store personal data under strict safekeeping and confidentiality measures on secure servers operated by Tom Dale Company and stored securely by Box, our cloud database service provider. All Box servers are located in a Tier IV data centre in the UK, which has 24/7 onsite security and tightly restricted access control. Only authorised Tom Dale Company staff who need to process your data will have access to it.
By disclosing your personal information to us via www.tomdale.org.uk, by phone or in writing, you are giving us your consent to collect, store and process your personal information in the manner described in this policy. The information we hold will be accurate and up-to-date within our knowledge.
WHAT DO WE DO WITH PERSONAL DATA
We store your personal data in a secure environment and we use the contact information you have provided to share our news, promote our events, workshops and performances to you.
Sharing Information
To undertake our business activities, we sometimes have to share your information with third parties such as our database and IT providers and email marketing platform, which handles our email communications with you. We only choose partners we trust and will only pass personal data to them if they:
- Abide by the requirements of the Data Protection Act and GDPR
- Only use the information for the purposes it was supplied (and not for their own purposes or the purposes of any other organisation)
- Treat your information as carefully as we would
Tom Dale Company is a National Portfolio Organisation (NPO) and as such receives public funding from Arts Council England. We are therefore required to collaborate with and share personal customer data with other NPOs. This information is only used by publicly-funded arts organisations in England to better understand their audiences and improve their cultural offer. You will be given the option to share your personal data with our relevant NPO partners.
We may collect anonymised survey data on behalf of the Audience Agency, who provide research in to the preferences and make-up of our audiences and national arts audiences, as part of our agreement with Arts Council England.
We do not share or sell your personal information for other organisations to use for their own purposes, unless it is for the reasons given above.
CHILDREN AND VULNERABLE ADULTS
We are committed to safeguarding children, young people and vulnerable adults and do all we can to ensure that all who work closely with children, young people and vulnerable adults at Tom Dale Company are safe and undergo DBS. An important part of doing this is to protect their privacy.
If you are aged 16 or under, please obtain your parent / guardian’s permission every time before you provide any personal information; we will always require their signature on any documentation when you sign up to a Tom Dale Company project or are contracted to perform with us.
